Job Overview

We are currently seeking a highly skilled Legal Secretary to join our team on an 18-month fixed-term contract to cover maternity/parental leave. As part of our approach to delivering value through our services, we empower our business services teams to drive initiatives that support our business and lawyers.

The successful candidate will work closely with fee earners to develop comprehensive knowledge of clients, markets, and workstreams, playing a pivotal role in the team's success and contributing significantly to the lawyers' practices.

Main Responsibilities
  • General Administrative Support
    • Manage emails and follow up on requests efficiently;
    • Create, amend, and proofread documents from various formats;
    • Handle RCS recording and filing;
    • Assist with various ad-hoc projects.
  • Organisation
    • Answer calls, pass them on promptly, and assist with queries where possible;
    • Arrange conference or video calls;
    • Arrange travel requirements;
    • Process and submit expense claims and other administrative tasks;
    • Liaise with resources to resolve problems or issues on behalf of lawyers.
  • Billing Assistance
    • Assist with the monthly billing process: printing off reports and draft or finalised bills;
    • Create or amend written or dictated bill narratives;
    • Assist with client file opening and related processes.
  • Business Development
    • Update records and contact details, including creating and adding diary or file notes;
    • Carry out research where helpful for pitches, marketing, events, briefing packs;
    • Assist with the coordination of small client events.
Essential Skills and Qualifications

To be successful in this role, you will require:

  • At least 2 years of relevant experience, ideally gained in a law firm or professional firm;
  • Fluency in both French and English;
  • Good level of technical ability in Microsoft Office, including Word, Excel, and PowerPoint;
  • A 'can-do' approach and strong organisational skills: able to plan and prioritise effectively to deliver high-volume work or tasks to demanding deadlines;
  • Demonstrates initiative and strong client focus, with a willingness to take ownership of tasks or provide solutions to issues that arise;
  • Good communication skills, both written and spoken, and able to liaise across all areas within the firm;
  • Methodical approach, with high levels of attention to detail, providing work that is quality-checked and complete;
  • Team player, able to work well with others to achieve departmental or task-specific goals.
