Administrative Support Specialist

We are seeking an organized and detail-oriented Administrative Support Specialist to join our team in Luxembourg. In this role, you will provide high-quality administrative support to our office, ensuring seamless day-to-day operations.
Key Responsibilities:- Welcome visitors and respond to inquiries, both physically and digitally
- Manage phone calls, emails, and mail (registered mail, DHL, FedEx) in a timely and efficient manner
- Provide general administrative support, including scanning, archiving of documents, and database management
- Support the team by managing appointments, travel arrangements, and other administrative tasks
- Prepare meeting rooms for meetings, including catering when necessary
- Maintain accurate and up-to-date records and registers (paper-based and e-files)
- Prepare documents requiring approval and/or signature, both physically and digitally
- Liaise with external authorities, notaries, translators, and embassies as required
- Assist with administrative and operational tasks within the corporate and accounting departments
- Send invoices and payment reminders to clients
- Prepare wire instructions and ensure execution when necessary
- Diploma in Office Management or equivalent experience
- Basic knowledge of recording invoices and bank statements is an advantage
- Proficient in MS Office
- Excellent organizational skills and ability to prioritize multiple tasks
- Ability to work autonomously and as part of a team
- Able to handle confidential information with discretion
- Good English and French language skills are essential (both oral and written)
