Administrative Coordinator for Law Firm

We are seeking a highly organized and detail-oriented Executive Assistant/Paralegal to support our team in Luxembourg. In this role, you will be responsible for providing administrative support to our lawyers, managing front-desk activities, and coordinating office management tasks.
About the Role- Assist lawyers with legal tasks such as KYC, board minutes, contracts, and EGMs
- Manage front-desk activities including reception, telephone, correspondence, and meeting rooms
- Provide general administrative support to the team, including document creation, typing, formatting, copying, filing, and archiving
- Coordinate office management tasks, including supplier management and IT issues
- Participate in invoicing process on Avonca system
- Contribute to marketing actions, including events, conferences, mailings, and digital communications
- Minimum 3 years of experience in a similar role, ideally in a law firm or legal environment
- Bachelor's degree in executive secretarial studies or languages
- Excellent command of French and English, written and spoken. A good command of German, Italian, and/or Luxembourgish is an advantage
- Strong knowledge of Microsoft Office: Word, Excel, and PowerPoint
- Highly organized, rigorous, reliable, and pro-active
- Strong adaptability competences and resistance to stress
- Good team player and ability to work autonomously
- Strong interpersonal skills and customer orientation

Estimated salary: €40,000 - €60,000 per year, depending on experience
