  • Insurance carrier: Lombard International Assurance S.A., headquartered in Luxembourg, specializes in manufacturing unit-linked life insurance solutions distributed by regulated intermediaries.
  • Distribution Companies: We have wholly owned investment and insurance distribution businesses marketing and advising on unit-linked life assurance products manufactured by Lombard International Assurance S.A.

Job Overview

The HR Operations Senior Officer is responsible for managing, tracking, and ensuring compliance on all employee information and documentation as dedicated by labor law, collective agreement, policies, and procedures. This role also involves maintaining day-to-day HR operations and backing up the Senior Payroll Officer according to a work schedule determined by the Head of Rewards & Operations.

Key Responsibilities
  1. Drafting and managing contractual documentation throughout the employee's lifecycle, including employment contracts, amendments, letters, certificates, and other required documents in cooperation with the Talent & Employee Relations team.
  2. Managing the administrative onboarding of new hires/offboarding of leavers in compliance with internal procedures in a smooth and efficient manner: filling checklists, processing 4-eyes controls, background checking, fit & proper checking, logging IT tickets, organizing mandatory medical examinations for new joiners, ensuring accurate setup and tracking of trial periods in the HRIS, and any other related tasks.
  3. Maintaining and updating employee records in the HRIS throughout the employee's lifecycle in a timely manner.
  4. Ensuring the accurate maintenance and security of hard and digital personnel records for all staff in compliance with data protection regulations.
  5. Managing the HR mailboxes and answering employee queries according to LIA Service Excellence criteria.
  6. Providing guidance, managing, and coordinating the application, renewal of work permits in accordance with applicable regulations. Tracking and maintaining records of work permits in the HR system and ensuring timely renewals or follow-up actions as needed.
  7. Serving as a backup for payroll preparation, control, and processing as well as benefits administration.
  8. Participating in HR projects in line with business requirements. Identifying and suggesting HR Administration process improvements.

Requirements and Qualifications

  • Degree in HR and/or relevant professional training.
  • Fully understanding of HR functions and best practices.
  • Between 5-10 years of experience in the field of Human Resources, preferably within Compensation & Benefits, HR Operations, and/or HR Services.
  • Strong knowledge in labor law, social security, and immigration law.
  • Client service-oriented and solution-driven.
  • Proactive, inquisitive, and autonomous.
  • Organizational and time management skills, as well as meticulous attention to detail.
  • Team player, ability to work in a changing and dynamic environment.
  • Communication and problem-solving skills.
  • Work well under pressure and ability to meet tight deadlines.
  • Advanced skilled in Microsoft Word.
  • Good command of Microsoft Excel.
  • Fluent speaking and writing skills in English and French are mandatory.

Compensation Package

The estimated salary for this position is €65,000 per annum, plus additional benefits, including health insurance, pension plan, and annual bonuses. The total compensation package offers a comprehensive and competitive remuneration structure.
