Senior/Principal HR Operational Assistant.



This is a full-time temporary position at grade 2/3.

The term of this contract will be 1 year; _as this is a temporary replacement assignment, no extension or conversion of the contract is foreseen._**- _internal benchmark: Senior/Principal Operational Assistant_

Purpose:


As a Senior/Principal HR Operational Assistant you will execute (either primarily or as a backup) standard and non-standard tasks of the processes related to onboarding, pre-employment screening, contracts and departures for various staff categories, e.g.

EIB agents, trainees, temporary (interim) staff.


The role requires attention to detail, ability of working with tight deadlines, within structured processes, a high level of discretion and strong collaboration skills.


Operating Network:


You will be part of a team and reporting to the Head of Unit and will have contact with colleagues in HR, in particular with the Information and Systems Division to ensure appropriate development and maintenance of the infrastructure, as well as with the Knowledge Management Officers.


Accountabilities:

  • Support the onboarding of newcomers: serve as a contact point for administrative questions, organise and deliver induction sessions, handle the reimbursement of travel expenses linked to househunting trips, check and follow up the completeness of the newcomer documents, collect feedback and propose improvements.
  • Execute contract amendments, contract extensions and nonrenewals (for various staff categories), conversions to permanent contracts, extensions/suspensions based on the decision of the probationary period, language clause updates, and prolongations beyond age of retirement.
  • Execute tasks related to the administration of temporary staff, contract consumption and preemployment screening administrative tasks as required.
  • Coordinate the activities related to departures, reply to questions, ensure a ensure timely closure of all administrative procedures and maintain a proactive approach to ensure a smooth transition as needed.
  • Update the HR systems and documentation in line with the unit's activities.
  • Monitor the databases on a regular basis to spot issues and improve the data quality, provide reporting/ statistics.
  • Participate in projects in the context of improving HR Systems and the quality of data (e.g. PeopleSoft HR, MyPortal, Newcomers Portal, BO, GED, HireRight, Beeline).
  • Take a cooperative approach within the team and ensure the full backup of the other team members during absences to ensure business continuity.

Qualifications:

  • Secondary level Diploma, complemented with a 2year certification in a relevant field (e.g. HR, business administration) or secondary level education with equally qualified experience in a relevant field.
  • At least 5 years of relevant professional experience in an administrative function ideally acquired within HR.
  • Demonstrable understanding of the HR processes especially in the area of onboarding and employment contracts will be considered an advantage.
  • Knowledge of SAP Business Objects, PeopleSoft HCM, PeopleSoft Financials, HireRight or Beeline would be an advantage.
  • Excellent English and/or a good command of French. Knowledge of other European Union languages would be an advantage.
