Devonshire is working with an international investment management firm with a strong focus on sustainability and innovation, which is looking for a Legal & Administrative Assistant for its Luxembourg office.
As the Legal and Administrative Assistant, you will be working in a key support role that blends administrative, legal, and accounting responsibilities in a dynamic, professional environment.
**Main Responsibilities**
Administrative Support
- Handle day-to-day office tasks such as document management, internal communication, and general administrative duties
- Schedule and coordinate Board and Conducting Officer meetings, and prepare agendas and minutes (monthly and quarterly)
- Maintain corporate registers (RCS/RBE) on an ad hoc basis
- Act as a liaison with external parties, including suppliers and notaries
Legal & Governance
- Assist with the preparation and maintenance of corporate documentation
- Ensure proper filing and tracking of compliance-related records and deadlines
Accounting Support (Month-End Focus)
- Manage accounts payable and receivable
- Process payments and reconcile supplier invoices
- Maintain up-to-date bookkeeping records, including the general ledger
- Assist with invoicing and tracking outstanding balances
- Enter financial data accurately into accounting systems
We’re looking for someone highly organised, resourceful, and eager to contribute across a broad range of tasks. You’ll be a key part of a small team, where initiative and reliability are highly valued.
**Key Qualities**
- Experience in administrative, legal, or financial support roles
- Familiarity with Luxembourg corporate registry systems (RCS/RBE) is an advantage
- Basic knowledge of accounting and bookkeeping principles
- Strong communication and interpersonal skills
- Comfortable with digital tools (Zoom, Microsoft Office, accounting software) and keen to learn new technologies (e.g., Microsoft CoPilot)
- Fluent in English & French
