The team in Luxembourg included 5 peoples who are in charge of multiple finance functions such as accounting, coordination with external service providers, legal, compliance and administrative management of European investment vehicles.
The joiner will be based in the heart of Luxembourg City, and will report to the Head of Legal and Compliance

**As Administrative & Legal Assistant, you will mainly**:
Maintain up-to-date corporate files and manage statutory requirements: Ensure that all corporate documentation is up to date (shareholder registers, filing annual accounts, updating Business and Beneficial Owners registrars with LBR, etc.).

**Provide assistance with corporate secretary**: organization of board and shareholders 'meetings and drafting of the convening notices and minutes; collection of documents and liaising with notaries and other third parties in case of incorporation of a new entity or evolution of an existing one; assist in the preparation of agreements to be executed by such entities.
Assist in complying with KYC requirements of the Company's and its clients: assist with the opening of business relationships, and maintain regular dialogues with third-party providers (banks, lawyers, investment partners) to make sure all files (bank account accesses, authorized signatories ) are up to date.

**Assist in the execution of documents**: ensure that relevant signatures are obtained and liaise with third parties, coordinate the administrative contacts for legalization with notary offices, governmental offices, etc.

**Assistance with various day-to-day accounting tasks**: monitoring, record keeping, and encoding payments of office invoices. Help in implementing an efficient communication process with the external accounting team. The Administrative Support Assistant will help to the ensure that the flow of information to external accountants is managed efficiently, securely, and timely.

**Assist with the day-to-day operations**: managing suppliers, finding ways to reduce the office's carbon footprint, archiving, and filing paperwork, keeping logs of incoming/outcoming mails, preparation of meetings, etc.

**For this recruitment, your qualifications will be**:
Legal training (Bachelor)
A successful experience of 2/3 years in a similar position (bank, family office, fiduciary, law office)
A good knowledge of the Luxembourg environment
Proficiency in the use of the Microsoft Office suite
Fluency in French and English (written and spoken)
Pragmatic, entrepreneurial, and problem-solving approach to tasks
An organized and autonomous person with effective communications skills excited to work in a small and dynamic team
