We are currently seeking a highly motivated and organized Corporate and Administrative Assistant to join our team. This is an excellent opportunity for someone who wants to be part of a dynamic and growing organization that offers a challenging and rewarding work environment.
Job SummaryThe successful candidate will be responsible for providing administrative support to our clients and internal teams, ensuring seamless management of key tasks that directly impact the efficiency and success of our client portfolios. This includes preparing board meetings, drafting agendas, and managing regulatory filings with Luxembourg authorities. The ideal candidate will have strong organizational skills, attention to detail, and the ability to work independently.
Key Responsibilities- Governance & Compliance: Play a key role in preparing board meetings, including drafting and following up on agendas, board packs, board minutes, written resolutions, and proxies.
- Liaise with investors and manage the Assemblées Générales Ordinaires (AGO) for all our clients, ensuring smooth communication and coordination.
- Ensure our clients remain compliant by handling regulatory filings with Luxembourg authorities such as LBR, RBE, eDesk, and more.
- Organize and manage the collection of documents for notarization and legalization.
- A strong sense of autonomy and the ability take initiative in solving problems and managing tasks independently.
- A dynamic and proactive approach, with the ability to handle multiple priorities and work in a fast-paced environment.
- Exceptional organizational skills, attention to detail, and the capacity to manage confidential information.
- Strong communication skills to collaborate effectively with clients, investors, and team members.
- The ability to work well with colleagues and contribute positively to a team environment, while also managing individual responsibilities.
The estimated salary for this position is €45,000 - €55,000 per year, depending on experience.
