Fund Administration Officer

RSM Luxembourg, a member of the RSM International network, is seeking a dynamic Fund Administration Officer to join its team in Luxembourg. As a key member of the fund administration team, you will play a crucial role in ensuring the seamless management of key tasks that directly impact the efficiency and success of our client portfolios.
Key Responsibilities:- Governance & Compliance: Prepare board meetings, including drafting and following up on agendas, board packs, board minutes, written resolutions, and proxies. Liaise with investors and manage the Assemblées Générales Ordinaires (AGO) for all our clients, ensuring smooth communication and coordination. Ensure our clients remain compliant by handling regulatory filings with Luxembourg authorities such as LBR, RBE, eDesk, and more. Organize and manage the collection of documents for notarization and legalization.
- Payment & Banking Operations: Oversee client bank account management, from opening accounts to filling out bank powers and access forms. Handle payment instructions on behalf of clients, ensuring all payments are processed efficiently and accurately. Proactively assist in the billing process, following up on pending payments, sending reminders to clients, and maintaining proper documentation of invoices.
- Client & Team Support: Proactively reply to client inquiries, providing solutions and assistance with a high degree of autonomy. Ensure smooth communication between clients and internal teams, facilitating effective information flow and collaboration. Support the team in the daily operations of the funds, ensuring everything runs smoothly. Maintain up-to-date records for both internal use and client reporting, ensuring that our data remains accurate and accessible. Assist with various administrative tasks related to client portfolios. Take charge of organizing both internal and external meetings, helping to streamline communication across stakeholders.

- Exceptional organizational skills, attention to detail, and the capacity to manage confidential information.
- Strong communication skills to collaborate effectively with clients, investors, and team members.
- The ability to work well with colleagues and contribute positively to a team environment, while also managing individual responsibilities.
- Previous experience in fund administration, financial services, or a similar environment is highly desirable.
- You speak fluently French and English.
- You are familiar with Word, Excel, etc.
- Familiarity with Luxembourg regulations is a plus.
