Job Summary

This role plays a key part in supporting our operational teams, ensuring seamless day-to-day operations and providing exceptional client service. You will be responsible for managing various administrative tasks, maintaining accurate records, and communicating effectively with internal and external stakeholders.

Main Responsibilities
  • Reception & Facilities Management (35%):
  • Ensure the welcoming of clients, visitors, and external suppliers is handled professionally and efficiently.
  • Manage incoming phone calls, redirecting them to the appropriate individuals, and take messages where necessary.
  • Coordinate all incoming and outgoing mail, registered or fast courier deliveries, and other packages on behalf of the company.
  • Arrange meeting rooms for internal and external meetings.
  • Maintain office supplies inventory and place orders as needed.
  • Assist with building maintenance and coordinate related matters.
  • Organize parking for the office.
  • Administrative Support to Operational Teams (65%):
  • Provide support to operational teams with administrative tasks.
  • Prepare reports and relevant documents as required.
  • Ensure accurate record-keeping and update the system accordingly.
  • Offer additional administrative assistance as needed, based on company requirements and workload.
Requirements & Skills
  • Prior experience in a similar role is beneficial.
  • Proficiency in English and French is essential, with additional languages being advantageous.
  • A proactive approach with a strong work ethic.
  • Excellent communication and interpersonal skills.
  • Strong attention to detail and organizational abilities.
  • Ability to manage high volumes of work efficiently.
  • Good knowledge of MS Office applications.
