Job SummaryThis role plays a key part in supporting our operational teams, ensuring seamless day-to-day operations and providing exceptional client service. You will be responsible for managing various administrative tasks, maintaining accurate records, and communicating effectively with internal and external stakeholders.
Main Responsibilities- Reception & Facilities Management (35%):
- Ensure the welcoming of clients, visitors, and external suppliers is handled professionally and efficiently.
- Manage incoming phone calls, redirecting them to the appropriate individuals, and take messages where necessary.
- Coordinate all incoming and outgoing mail, registered or fast courier deliveries, and other packages on behalf of the company.
- Arrange meeting rooms for internal and external meetings.
- Maintain office supplies inventory and place orders as needed.
- Assist with building maintenance and coordinate related matters.
- Organize parking for the office.
- Administrative Support to Operational Teams (65%):
- Provide support to operational teams with administrative tasks.
- Prepare reports and relevant documents as required.
- Ensure accurate record-keeping and update the system accordingly.
- Offer additional administrative assistance as needed, based on company requirements and workload.
- Prior experience in a similar role is beneficial.
- Proficiency in English and French is essential, with additional languages being advantageous.
- A proactive approach with a strong work ethic.
- Excellent communication and interpersonal skills.
- Strong attention to detail and organizational abilities.
- Ability to manage high volumes of work efficiently.
- Good knowledge of MS Office applications.
