**About the Role**

In this role you will perform corporate secretariat activities such as organizing board and board committee meetings, including preparation of agendas, sending meeting invites, drafting of action items and potentially minutes of meetings and monitoring follow-up actions.

Further main responsibilities will be:

- Preparation of statutory filings in Luxembourg and abroad;
- Handling requests for corporate documents from internal and external clients, auditors or regulators;
- Coordinating notarizations, legalizations and translations of original documents for filing with foreign authorities;
- Administration of company records and general records management;
- Develop and maintain templates and standard procedures for corporate secretariat tasks;
- Collaborate with other members of the Corporate Governance EMEA Team and the wider Legal & Compliance Division.

**About the Team**

You will assist & report to the Head of Corporate Governance Luxembourg and join a multi-jurisdictional team composed of 10 Legal Counsels and Corporate Secretaries based in Luxembourg (five members including you), Zurich, London, Bratislava and Cape Town, providing corporate governance and corporate secretariat services to legal entities in EMEA. Together we act as dedicated partner of board and committee members of in scope entities, and are accountable for compliance with corporate laws, regulations and internal governance. **About You**

You’re an energetic teammate - driven by new solutions and ways of working. Teamwork stimulates you. You display a strong sense of ownership for tasks assigned to you and have a good eye for details. You've got strong interpersonal skills and communicate well and timely.

Essentials:

- You have at least 4 years of experience as corporate secretary, paralegal or personal assistant, ideally acquired in an international organization in Luxembourg
- You are familiar with corporate administration
- You demonstrate accountability and resilience when facing challenges and you are fully reliable, responsive and display a high level of energy
- You have excellent verbal and written communication skills in English and French (good command of a further European language (preferably German) an advantage)
- You are a proficient user of MS Office products namely Outlook, Excel, Word, Power Point.

Nice to Haves:

- You are well-versed in handling Senior Management requests
- You are confident in your ability to drive matters independently while balancing the need to collaborate and maintain an appropriate level of communication and coordination with your peers
- You are familiar with corporate governance requirements applicable to regulated companies
- You are a certified Company Secretary, a law degree, or have an education in law
