For a renowned, international Banking Corporation in Luxembourg we are looking for you as:
**HR - Assistant & Administration Officer (multilingual Chinese / English / French) in Luxembourg (gn)**:
**Key Tasks**:
**ADMINISTRATION**
- Support the office daily documents operation, through document circulation, file management etc., and ensure the proper sending to the assigned department in a timely manner.
- Assists the work supervision of the reporting mechanism between Head Office and Branch Luxembourg in a timely manner.
- Ensures daily office management, through liaison role and monitoring contracts and service agreements, including facility management, fixed assets register, ordering office supplies, office equipment maintenance (excluding IT equipment), contract management, newspapers subscription, company mobile phones, business cards, season’s greeting cards and desk calendars etc., to ensure the business has what it needs to operate efficiently.
- Prepares payments linked to departmental invoices in accordance with Accounting and Financial procedures.
- Monitors closely departmental budget (Admin part) and check regularly the remaining amounts with FA staff.
- Drafts, reviews and amends departmental procedures and policy as assigned;
- Manages events, team-building activities and deal with suppliers;
- Highly confidential secretarial support to Senior Management, including arranging travels, follow-up of the management agenda;
- Manage premises badge access, accommodation arrangements and other miscellaneous support for expatriates and guests;
- Executes other duties as assigned by Head of Administration;
- Provides translation services assigned by the Head of Administration

**HR**
- Employee database management - ensure data input, quality and database completion - maintenance of employee files;
- Absence management of employees: sick leave, special leaves, annual leaves, etc, maintain the tracker updated accordingly;
- Manage new joiners and leavers processes; coordinate with IT as per internal process;
- Assist with recruitment administration for internships;
- Assist with training coordination: providers invoicing, employees registration, etc
- Payroll: be in charge of payroll instructions and controls up to validation;
- Look after benefits in kind and employees’ performance administrative support;
- Employees files management; and archiving;
- Assist with the day-to-day efficient operations of the HR function.

**Key Requirements**:

- Succesful study degree in Finance, HR - Management or similar degrees
- Fluent language skills in English, French and Chinese;
- Multi annual working experience in administration and HR administration support;
- High sense of confidentiality, sound judgement,
- Excellent interpersonal, communication and presentation skills
- Ability to deal with highly confidential information, discretion
- Ability to work under pressure and manage a multi-tasked responsibilities
- Highly organized and attention to details
