Our client, a global leader in wellness products, is in search of a skilled Senior Administrative Specialist with a keen eye for detail and a strong background in financial support.

Administrative Excellence:
- Leave Management: Keep records up to date for holidays and sick leave, coordinating with HR as needed.
- Financial Logistics: Monitor and manage the cash box, ensuring accuracy and security.
- Travel Coordination: Facilitate travel arrangements for team members, covering taxis, flights, and hotel bookings.
- Board Meeting Assistance: Provide logístical support for organizing and executing board meetings.
Financial and Purchasing Operations:
- Invoice Oversight: Manage the approval process and tracking of invoices, ensuring timely payments.
- Record Maintenance: Maintain accurate records for legal, tax, and financial agreements to uphold Luxembourg compliance standards.
- Purchase Order Management: Generate internal invoices and oversee Purchase Order blankets for the worldwide transportation department.
- Collaboration with Finance Teams: Work closely with the Accounts Payable team, facilitating Purchase Order placement and updating supplier files in Oracle (ERP).
Office Management:
- Communication Hub: Handle incoming and outgoing mail and manage phone calls, ensuring effective communication.
- Visitor Engagement: Welcome and assist visitors and suppliers, maintaining a professional and inviting atmosphere.
Executive Support:
- Document Preparation: Assist in the creation of internal documents for the Senior Managing Director.
- Travel Assistance: Facilitate travel arrangements for the Senior Managing Director.
- Demonstrated experience in administrative roles, particularly in a finance-centric capacity.
- Fluent in French and English is mandatory for this role
- Strong organizational and multitasking abilities.
- Familiarity with ERP systems, with a preference for Oracle proficiency.
- Exceptional communication and interpersonal skills.
