Position Type: Interim, 3-month contract with potential for permanent hire
We are seeking a skilled and proactive Administrative and Billing Officer to join a renowned law firm on an interim basis, with potential for permanent placement. This role will provide essential support to lawyers and team members, handling a range of administrative, organizational, and communication responsibilities. The ideal candidate has a keen attention to detail, a high level of discretion, and a collaborative approach.
Key responsibilities:
- Prepare expense reports and assist with tracking timesheets for lawyers.
- Coordinate travel arrangements, meetings, appointments, and conferences.
- Handle ad-hoc tasks as needed to ensure effective team support.
- Address billing inquiries by opening new matters, preparing invoices, and tracking payments.
- Collaborate with team members and the central billing department to ensure smooth billing processes.
- Manage email requests and coordinate calendar updates efficiently.
- Draft, proofread, and finalize various documents and communications.
- Facilitate document handling processes, including filing, printing, scanning, and archiving.
- Manage telephone communications, ensuring coverage for both internal and external calls.
- Draft internal emails on behalf of senior team members.
- Coordinate with various departments to maintain streamlined support to lawyers.
- Ensure accurate recording and filing with RCS.
- Collaborate with other Business Support teams as needed, including HR, Business Development, and IT.
Qualifications:
- A minimum of 2-3 years of experience in a similar administrative role, ideally within a professional services or legal setting.
- Bachelor's degree in Secretarial Studies, Administration, or a related field.
- Proficiency in English, with excellent verbal and written communication skills.
- Strong command of MS Word, MS Excel, MS PowerPoint, and Outlook.
- Proactive and eager to learn, with the ability to adapt to shifting priorities.
- Ability to work both independently and collaboratively, maintaining confidentiality and professionalism.
