Key Responsibilities
- Coordinate the allocation of work and/or duties amongst team members
- Manage projects (such as internal and external moves), supervise, and coordinate the work of contractors (including the dedicated office space locations).
- Act as main liaison for property managers and Landlords
- Arrange for assistance for marketing and social events.
- Monitor the budget for the Reception & Office Management department
- Liaise with internal and external providers to obtain the best level of service for the organization (e.g., cleaning company).
- Check that agreed work by staff or contractors has been completed satisfactorily and follows up on any deficiencies
- Investigate availability and suitability of options for new purchases (e.g., office equipment, office facilities)
- Calculate and compare costs for required goods or services to achieve maximum value for money.
- Direct and plan essential central services such as reception, security (in close cooperation with IT)
- Monitoring the safety and cleanliness of interior and exterior
- Performing routine maintenance on facilities and making repairs as needed
- Scheduling routine inspections and emergency repairs with outside vendors
- Ensuring proper security measures for the workplace, including collaborating with security system vendors or a team of security professionals
- Collaborating with building owners and upper management on budgeting for facilities needs
- Excellent communication and interpersonal skills, including the ability to speak with all levels of employees, guests, vendors and team members
- Great time management, organization and prioritization abilities
Key Requirements
- 5+ years' experience in Facilities or Office Management.
- Strive to meet service standards service minded and attention for detail
- Problemsolving mentality
- Good knowledge of Microsoft office
- Experience with hardware tools and electrical equipment
- Able to manage personal workload
- Being well organized
- Good communication, both written and spoken, in English is required. French as well (communication with authorities).
- Designated work certification C4
