Responsibilities:
- Administer the coordination of divisional activities.
- Arrange and manage meetings and appointments.
- Prepare briefing papers for meetings and business trips.
- Finalize, distribute, and file documents and reports created by division staff.
- Maintain up-to-date statistics and work plans; ensure adherence to procedures.
- Collaborate with other Assistants and Department members, provide training on bank procedures to new colleagues, and contribute to a positive working atmosphere within the Financial Inclusion Division and the entire Department for efficient task implementation, smooth information flow, and goal achievement.
- Coordinate and dispatch letters related to legacy mandates to various Member States and other mandators.
- Update the list of contacts across EIB GLO mandators.
- Organize and coordinate external guests and visits with Protocol, handling access to premises and room bookings.
- Manage and support the team with the Notes system, including note creation, updating and preparing properties, calendar management, distribution support, and preparation of final draws.
- Coordinate various administrative tasks for the division, such as event organization, shared calendar updates, GED management, distribution list updates, and document preparation for signatures.
Profile:
- Minimum of 3 years of relevant professional experience at a senior support level, preferably in a middle/back-office function.
- Strong sense of responsibility and initiative, along with excellent organizational skills.
- Ability to work accurately under pressure, meet deadlines and priorities, and demonstrate flexibility and availability.
- Excellent knowledge of standard computer tools, especially MS Office tools (Word, Excel, PowerPoint). Knowledge of Business Objects would be advantageous.
- Excellent proficiency in written and spoken English. Working knowledge of French would be beneficial, and familiarity with other EU languages would be an advantage.
