Notre client recherche une personne pour gérer le département administratif et les opérations de bureau au Luxembourg. Les responsabilités comprennent l'organisation des réunions du conseil d'administration, la prise en charge des fonctions administratives, la gestion des finances, le maintien des relations avec les tiers, la coordination avec les équipes RH et IT, l'organisation des fournitures et des voyages, la résolution des problèmes et la mise en œuvre des améliorations de processus.
**Description**
- Vous serez chargé(e) de veiller au bon fonctionnement du service administratif et de la gestion générale du bureau de nos activités au Luxembourg.
- Vos tâches comprendront la coordination et l'organisation des réunions régulières et spéciales du conseil d'administration.
- Vous coordonnerez les fonctions administratives au sein de la société et avec les parties externes.
- Vous serez responsable des tâches générales d'administration financière telles que le traitement des paiements de factures.
- L'établissement et le maintien de relations avec des tiers, tels que les services de l'emploi et des entreprises, les banques, les propriétaires et les autorités, feront partie de votre rôle.
- Vous participerez à la coordination et à l'accueil des nouveaux membres de l'équipe, en travaillant en étroite collaboration avec les RH du groupe et les consultants externes en RH, le cas échéant.
- Vous devrez collaborer avec les équipes informatiques internes pour commander et installer le matériel pour les nouveaux utilisateurs.
- Vous devrez communiquer et coordonner avec les services administratifs des sociétés de notre groupe.
- Vous devrez veiller à la bonne organisation du bureau, y compris à la gestion des fournitures et à l'organisation des déplacements.
- Assurant la liaison entre la direction et les cadres, vous résoudrez les problèmes et gérerez le flux de travail quotidien et les délais, notamment en ce qui concerne la gestion des voyages d'affaires et des dépenses.
- Vous évaluerez les opérations en cours afin d'identifier les domaines susceptibles d'être améliorés et de mettre en œuvre des améliorations de processus.
**Profile**
- La maîtrise de l'anglais est indispensable et celle du français serait un avantage. La connaissance de l'allemand serait également un atout.
- Une expérience préalable dans un rôle d'assistance administrative ou de bureau est essentielle, avec au moins quelques années d'expérience pertinente.
- Il doit faire preuve d'une grande flexibilité et d'un esprit novateur, et s'attacher à fournir un service et une qualité irréprochables.
- De solides compétences en MS Office sont importantes, de même qu'une affinité générale pour la technologie et les systèmes.
