**Purpose**:
The (Senior) Operational Assistant - Health Administration, internally referred to as (Senior) Operational Assistant) will execute a wide range of administrative duties in order to contribute to the smooth running of the Health Administration team.

The post requires good judgement, flexibility, autonomy and the ability to prioritize and handle several tasks simultaneously, while still exercising a high degree of precision. It also requires extreme sense of confidentiality due to the sensitivity of the information handled.

**Operating Network**:
You will report to the Head of the Employee Relations and Wellbeing Division, working in close cooperation with Employee Relations and Wellbeing Division members.

Internal contacts: all staff/directorates at all levels

External contacts: external service providers, external doctors

**Accountabilities**:

- Administration of sick leaves
- Administration of all procedures involving medical advisors. This involves the proactive follow-up of very delicate individual cases of sensitive nature under strict deadlines and includes:

- Answering recurrent and exceptional questions linked to the Medical Administrative Procedures and Staff Rules provisions on absences related to sickness
- Collecting the administrative reports from the Medical Advisers following the staff’s assessment
- Organising medical assessments with Medical Advisers including preparation of invitations and all related correspondence
- Notifying the Medical Advisers’ decisions
- Implement preventive medicine programme
- Manage occupational diseases and accidents claims and related medical expenses
- Maintain proper record/documentation and data quality (e.g. preparation and filing of documents manually and electronically, maintenance of databases, including the reception, input and filing of medical absence certificates in Peoplesoft)
- Contribute to monitoring, reporting and analysis for the team
- Design, share, maintain and publish “how to” guides, training material and presentations.
- Map and describe workflows and procedures
- Provide secretarial support
- Take a co-operative approach within the team and act as a back-up of the other administrative assistants of the Division in their duties as required, including procurement issues.

**Qualifications**:

- Secondary level education, complemented with a 2-year certification in a relevant field (accounting, legal, business administration) or secondary level education with equally qualified experience in a relevant field.
- At least 3 years of relevant professional experience; experience of work in occupational health, HR and/or handling confidential information would be an advantage
- Good knowledge of the Bank’s organisational structure, processes and procedures would be an advantage
- Ability to maintain confidentiality is mandatory
- Excellent knowledge MS Office tools (Word, Excel, Powerpoint). Knowledge of Peoplesoft would be an advantage
- Excellent knowledge of written and spoken English and a good command of French. Other languages would be an advantage
