Secretarial and reception work for multiple supervisors (phone and mail handling, filing, support of meetings, travel arrangements);
- Resolving day-to-day administrative and operational matters;
- Coordinate and prioritize office task requests to ensure maximum efficiency;
- Organizing and servicing meetings (producing agendas and taking minutes);
- Ensure office efficiency is maintained by carrying out planning and execution of procurement of stationery and other office supplies;
- Point person for maintenance, mailing, shipping, supplies, equipment, bills and errands;
- Partner with HR to maintain office policies as necessary;
- Management of administrative archive (electronic and paper);
- Control the keeping of the HQ archives and the three meeting rooms so that they are always operational and in good condition;
- Translations between English, French and Russian;
- Assistance in administrative matters to the HR and other departments;
- Managing legalization/certification of documents with notaries, apostille, etc.; and
- Any other ad hoc tasks, as might be requested.

**Your profile**
- At least 3 years of relevant experience (proven office management, administrative or assistant experience);
- Excellent level of Russian, English and French is **necessary requirement**.

German or any other language would be an asset;
- Knowledge of office management responsibilities, systems and procedures;
- Excellent time management skills and ability to multi-task and prioritise work;
- Attention to detail and problem solving skills;
- The ability to be proactive and use your initiative: to see what needs doing and to do it;
- Excellent written and verbal communication skills;
- Organisation and time management skills;
- The ability to use standard software packages (e.g. Microsoft Office) and to learn bespoke packages if required;
- Knowledge of accounting, data and administrative management practices and procedures;
- Knowledge of clerical practices and procedures;
- Knowledge of human resources management practices and procedures;
- Knowledge of business and management principles;
- Tact, discretion and diplomacy.
