(Fixed Term) Executive Assistant, Books

Minimum of 5 years of successful business experience supporting multiple executives in a fast-paced environment
- Proficiency with Microsoft Office, specifically Outlook, Word, Excel, PowerPoint and SharePoint
- Past experience organising, prioritising and appropriately handling time-sensitive, confidential information and ensuring action/attention required is addressed
- Excellent written and oral communication.
** This is a fixed term contract for 6 months, with the option to convert to full time **

We are looking for a smart, efficient, organised, and motivated individual with a history of high performance to support 3 Directors in Europe, who are key leaders of our organisation. In addition to flawlessly planning and executing, the successful individual will independently solve problems and take on projects to improve the organisation. The position is located in Luxembourg.
While the primary responsibility will be to provide support to 3 very busy Directors, the individual will operate in a team environment and independently manage initiatives to improve efficiency and innovation. This position will partner closely with their teams, plus the global Books team's executive assistants in USA and Japan, as well as other executive assistants throughout Amazon in Europe. The role requires superior attention to detail, great organisational skills, the ability to find solutions to problems, juggle multiple requests, and identify ways to drive efficiency. More than anything, the successful individual will organise each of the Directors they support to plan ahead, focus on highest-impact areas, and operate at high efficiency.
Key job responsibilities
Responsibilities for this position include the ability to think and plan ahead, and manage time effectively. Other key responsibilities include:
- Manage complex calendar and scheduling for multiple executives
- Help provide seamless support by organising priorities and focus areas
- Organise team meetings with multiple agenda items and presenting teams
- Management of individual and group travel requirements
- Coordinate and plan employee recognition, team events and morale events, as needed
- Collaborate with space administrator to ensure space is efficiently planned for teams
- Work well, and build relationships with assistants throughout the team and across the company
- Other duties as needed to keep all Directors as effective and efficient as possible on a daily basis

Bachelor’s degree a plus
