The Role:
You will be working in a multicultural work environment and will be part of our Office Management team who provide local support as well as link in with a global network of colleagues to keep our business moving forward. This position could be for you if you have a good sense of humour, enjoy open interaction with people, are interested in being part of a collaborative Team, enjoy Team spirit and at the same time are able to work in an independent, precise and responsible manner.
Key Responsibilities for this role:
- Reception and general administration_
- Serves visitors by greeting them with a smile, welcoming, and directing them appropriately
- Maintains security by following procedures, monitoring logbook, and issuing visitor badges
- Keeps a safe, secure and clean office environment by complying with procedures, rules and regulations
- Assists with preparation of meeting rooms and that all equipment is operational in the rooms
- Supports continuity among work teams by providing support where needed and permitted
- Ad hoc duties as and when they arise.
- Procurement of goods and services
- To assist with locally provided HR support - Onboarding of new joiners etc.
- Admin services to be provided to other teams - post distribution - courier services
- Meeting and travel bookings & coordinating and managing agendas of Conducting Officers
- Processing of expense claims
- Providing general support to the Office Manager in all aspects of her role where required
- Office Sustainability Reporting
- To be able to assist in IT matters and assist Office Manager for on the ground issues (no experience necessary, however a general interest in IT matters would be of benefit and keen to assist IT Technicians in the from the UK locally
- Event organisation
Key Knowledge, Skills & Experience:
- Ability to multi task and reprioritise
- Strong organisation/planning skills
- Excellent attention to detail
- Written & verbal communication skills
- Very good command of the English language. German, French & Luxembourgish a plus
- Welcoming reception skills
- Prior experience in a similar role, with similar breadth of tasks.
- Ability to build strong relationships internally and externally, and comfortable working with other offices in different locations.
- Dynamic, problem-solving oriented with a high level of integrity
