CBRE Global Workplace Solutions is a leading global provider of integrated facilities and corporate real estate management.
We are recruiting a Facility Coordinator to join the team in Luxembourg.
KEYS RESPONSIBILITIESPrimary focus on delivery of all FM Operations SLA's in accordance with KPI & Output measurements.
Understand, anticipate and deliver customer (internal and external) needs ,positively respond to both our internal and external customers through effective communication and personal accessibility.
Act as the point of contact and develops positive relationships with the client for all facilities management services issues in the locations, including Security, Cleaning, Engineering and Mail / Print to ensure a seamless transition for staff- Support/Monitor 3rd party maintenance supplier activities when required and report any corrective works arising- Manage Sharepoint, ensuring all documents are uploaded every month, including H&S and cleaning audits
- Act as a part of site Emergency team as required for emergency control activities
- Report all accidents, occupational illnesses and emergencies in relevant books/documentation
- Ensure all statutory compliance requirements are met using CBRE's HSE & Risk System and in accordance to the CBRE platform. Understand processes and procedures and operate them to the required standard.
- Raise Purchase Orders for goods or services as required, in compliance of business controls at all times. Assist with keeping the Finance Tracker up to date.
- Carry out daily the building walks and report any defects or issues to the FM or the relevant vendor for action. Monitor through to completion.
- Creation of the Monthly and Quarterly Business Operational reports
- Management of onboarding requests for new Team members/Contractors who are joining the Client Company
- Provide and arrange cover for the FM team as defined by line management
- Supervision of Reception tasks
- In addition to the above mentioned tasks, other activities and responsibilities may be individually defined.
SKILLS / EXPERIENCE
- Excellent customer care skills, problem solving skills
- Proven ability to build and maintain strong vendor relationships.
- Experience in financial management and budgeting.
- Advanced Microsoft Office experience (focusing on Excel, Word, PowerPoint and Project) required.
- Ability to bring a fresh approach.
- Proactive and ability to work
- Excellent written and oral communication skills, including presentation and negotiation skills
- Ability to network at all levels of the organisation.
- Flexibility and adaptability to changing business requirements, no 95 mentality
- Ability to display initiative, confidence and professionalism in all dealings
- Fluent in English and French
- Effective communicator orally and in writing with proven ability to influence across various levels of management
- Able to set deadlines & priorities
