**Main responsibilities and accountabilities**:

- Providing administrative support in several languages to the dedicated teams
- Managing an active and dynamic calendar of appointments
- Scheduling meetings, setting up conference calls
- Organising internal and external events/meetings
- Booking and arranging travel, transport, and accommodation for team members
- Handling travel expenses and follow-up
- Interface for Head of the department and his team
- Welcoming and hosting external and internal visitors
- Typing, compiling, preparing reports, and presentations
- Handling all correspondence of the department
- Archiving and keeping track of documents (Purchase orders, contracts, payments, etc.)
- **_SAP Purchasing _**
- Creation of purchase orders and good receipts
- Follow-up of purchase orders and payments
- Check invoices and/or allocations to the department cost centres
- Suppliers’ contact for any questions or queries
- **_SAP-time interface _**
- Manual recording/correction of leaves, teleworking, and sickness leaves
- Reply to employees’ questions or issues related to the records of their absence/TW requests and their holiday balance
- Inform employees of specific internal rules related to annual leaves and closure ( e.g. FU /JR / CP, year-end closure )

**What you’ll need:
Working in a fast-changing multilingual environment with a wide diversity of tasks requires:

- Be at least bi-lingual French / English with ideally a good command of German/Luxemburgish
- Good communication skills and excellent inter-personal skills
- The ability to work within a team
- Accurate and detail-oriented
- Be flexible and open to change
- Well-developed time management skills
- Strong organisational skills and good sense of priorities
- Proactive approach to problem-solving
- Stress-resistant
- Positive attitude

**Education/qualification**: Bachelor’s degree

**Experience**:

- A previous experience as team assistant / personal assistant is required (min. 3 years of experience)
- A previous experience in an international and multicultural environment will be considered as an asset

**Languages**:

- English (advanced)
- French (advanced)
- Any additional languages will be considered as a plus (e.g. Germany, Luxemburgish)
