**Job description**:
The person will perform a mix of office administration and direct relationship with the expats.
**The ideal person for the position is organised & efficient with administrative tasks, has a detail-oriented mindset and is customer oriented. Multitasking is an essential quality to bring to the position.**
**Tasks and Responsibilities of the Administrative Assistant**:
- Create and manage the client file on our IT platform
- Organise the translation of documents
- Organise an accompany the assignees for the declaration of arrival and the medical appointments
- Search for temporary accommodations and manage the reservations
- Perform a variety of administrative duties, such as immigration registration, social security declaration, family benefits, exchange of driving license, tax cards change,....
- Punctually help to organise home searches and settling-in support
- Manage the office needs and supplies.
- Keep up to date on local knowledge as well as expatriate issues in the international community including housing market, international schools, leisures, health system, administrative processes, public transportation.
**Skills and Qualifications of the Administrative Assistant**
- Bilingual French / English - any extra languages is an asset
- Proven administrative experience
- Be trustful, organised, methodical, details oriented and rigorous
- Live in Luxembourg and have a very good knowledge of the country
- Customer focused and empathy to feel the needs of the expats with ability to manage priorities is key
- Open minded and interested in other cultures
- Dynamic and neat appearance
- Ability to multitask and manage time wisely
- Superb written and verbal communication skills
- Ability to being both process focused and service oriented
- Ability to manage stress and be reactive
- Ability to handle challenging situations and find solutions
- Comfortable handling confidential information, diplomatic, and ability to assist high level customers
- Team spirit and ability to work independently
- IT skills and ability to learn new software and systems
- Preferably a previous experience in a similar role
- University or Bachelor’s degree
