Role Overview:

We are seeking a detail-oriented and proactive Administrative Officer to join our Compliance team in Luxembourg. This role is ideal for individuals looking to grow their career in compliance and regulatory administration. You will provide essential administrative support to ensure the department operates efficiently and adheres to regulatory standards.

Key Responsibilities:

  • Assist in maintaining and updating compliance documentation, registers, and records.
  • Support the preparation and submission of regulatory reports and filings.
  • Coordinate internal compliance-related meetings, including scheduling and minute-taking.
  • Manage correspondence with internal teams and external regulatory bodies.
  • Monitor deadlines for compliance tasks and ensure timely completion.
  • Assist in onboarding processes by collecting and verifying required documentation.
  • Maintain confidentiality and data protection standards in all administrative tasks.

Daily tasks that would be require your attention include among others tracking and ensuring the timely closure of the following activities:

  • The deliverables under the internal and external audits including the remediation of identified deficiencies
  • Monthly, quarterly and annual financial reporting
  • Annual regulatory reports
  • Ad hoc enquiries to/from the regulatory authorities
  • Support to customer bids including customer onboarding and AML/KYC checks
  • Organization of board meetings and board approvals
  • Managing the follow-up of tasks with internal departments
  • Maintaining of the document library

Qualifications & Skills:

  • Experience: At least 3 years in an administrative or compliance-related role.
  • Strong organizational and time-management skills.
  • Excellent attention to detail and accuracy.
  • A high degree of initiative and flexibility
  • Proficiency in MS Office Suite (Word, Excel, Outlook).
  • Excellent verbal and written communication skills in English and French/German.
  • Ability to work independently and as part of a team.
