The role includes the responsibility for building and strengthening relationships with clients and overseeing the overall relationship and of the service delivery quality. Acting as a primary point of contact, understanding client needs and objectives, and collaborates with internal teams to deliver tailored solutions and excellent service. Prepare regular reporting to the Fund's Board of Directors and AIFM as well as and escalate where necessary. The candidate will report to the Head of CRM and will have the overall responsibility for Client and therefore working in close collaboration with other departments.
What you'll be doing
- Being the point of contact for day-to-day client enquiries.
- Reporting to the Board of the Fund on a quarterly basis, attend service review meetings in collaboration with other stakeholders.
- Ensure the day-to-day fund operations is well performed and perform controls on delegated duties of the funds under management (e.g. Central Administration, Investment Manager / Investment Advisor, Depositary, distributors) but also for internal delegates.
- Responsible for the investigation and resolution of any day-to-day queries, issues and incidents internal or external
- Identify growth and cross selling opportunities as well as service enhancements
- Reporting to the ExCo / Board of the Management Company on the status of client activities and services.
- Assisting with due diligences on Gen II from service providers, outsourcing partners and vice-versa.
- Support the client on-boarding process and the implementation of service level agreements/operating memorandum
- Serve as contact for service providers on all fund and operation-related matters.
- Collaborate with Oversight and monitor KPI's (Assess the Operational KPIs with internal and external delegates).
- Monitor the performance of the delegates and service providers, conduct initial and ongoing due diligence (including onsite visits), perform the ongoing supervision of the delegates and service providers.
- Tackling with the Delegates or service providers any issues and incidents internal or external.
- Maintain client factsheets and client database.
Additional tasks in the CRM team might also include duties such:
- To review invoices and chase for long outstandings
- To provide clients with support and understanding of the applicable local rules and requirements
- Within client governance, assist in conducting initial and ongoing due diligence (including onsite visits) on service providers, outsourcing partners, funds and carry out quantitative and qualitative analysis;
The ideal background for this role:
- University degree, minimum of 5 years in a similar position as Client Relationship within the Luxembourg fund industry preferably and an AIFM and with fund on-boarding experience
- Experience on CRM, service delivery and oversight of service providers; good understanding of the investment fund industry, AIFM and oversight requirements (as set forth in CSSF 18/698 and various ALFI guidelines), and management of funds
- As a result of study and experience, have a comprehensive understanding of laws and regulations, technical knowledge of fund structures and a good understanding of local regulatory requirements.
- Ability to work under pressure and meet deadlines in certain cases
- A solution-driven attitude to problems
- Fluency in English, both written & verbal. French, any other language is an asset.
- Excellent interpersonal skills and the ability to communicate effectively with clients and colleagues at all levels
- Strong commitment to providing excellent service
Role Location/Hybrid Schedule
This role is based in our Luxembourg office. Although the nature of most of the roles within Gen II cannot be classed as totally flexible, there is scope in some cases for a form of Agile Working. The different ways in which Agile Working can be undertaken is dependent on the demands and needs of the business, the office space available and the individual's preferences and circumstances.
