We are seeking a highly skilled and experienced Executive Assistant to join our team at Arendt & Medernach, a leading business law firm in Luxembourg.

About the Role:
  • Schedule meetings, organize conference calls across multiple time zones, arrange internal and external meetings, and prepare necessary documents. Take meeting notes as required.
  • Support with and coordinate all administrative tasks related to client portfolios, maintaining and monitoring the entire life cycle of client files from opening to closing.
  • Manage both internal and external communication (emails/phone calls) related to client portfolios, maintain daily records with electronic and hard copies, and file documents in accordance with applicable conventions.
  • Ensure allocated portfolios comply with firm rules and standards, liaise regularly with KYC and risk teams.
  • Update CRM database precisely on a regular basis.
  • Monitor financial aspects of client files from opening to closing, ensuring accuracy and timeliness.
  • Verify that files parameters and data in billing system are correct, up-to-date, and aligned with customer instructions and billing specifics; take action to ensure deadlines are met while monitoring budget constraints.
Requirements:
  • You are fluent in written and spoken Luxembourgish (native speaker level), German, French, and English.
  • You hold a degree in Office Management or International Administrative Management (ESA) or Euro Management Assistant or equivalent.
  • You possess excellent time management skills, ability to multi-task, and prioritize work effectively.
  • A first professional experience as an assistant in an international environment, preferably in the advisory or financial sector, is ideal.
  • You are highly proficient in MS Office.
  • You have a service-oriented mindset, attention to detail, and problem-solving skills.
  • You can work autonomously and as part of a team.
  • You handle confidential information with discretion.
