Job DescriptionKey Responsibilities:
  • Logistics Activity Planning: Under the supervision of the line manager, collaborate with the Helpdesk office to plan and organize all Logistics activities on campus, ensuring seamless Service Now ticket follow-up.
  • Team Coordination: Coordinate the team, ensure personalized development follow-up (training, one-on-one interviews, team meetings), and establish team schedules.
  • Emergency Response: Participate in call duty periods (phone, doubt removal), identify risks, and manage them effectively.
  • Operations Execution: Support the team in executing operations related to departmental activities (operation, maintenance).
  • Quality Assurance: Guarantee the quality of various operations or projects carried out, adhering to procedures and deadlines, and set up key performance indicators (KPIs).
  • User Relationship Building: Establish solid relationships with cross-functional and user teams, manage critical escalations in logistics to minimize user impact.
  • Data Collection and Analysis: Collect and analyze data via implemented tools (Service Now, Acme, etc.).
  • Reporting: Ensure regular reporting, drafting activity reports.
  • Supplier Management: Manage service providers/suppliers, verify proper service performance until receipt, and monitor billing.
  • Functional Needs Identification: Identify required functional needs for bill of specification preparation, participate in tenders.
  • Tender Analysis: Solicit companies for tenders, conduct comparative and detailed analyses.
  • Problem-Solving: Analyze and identify problems encountered, propose sustainable solutions.
  • Procedure Development: Participate in developing and improving procedures.
  • Furniture and Consumable Management: Insure follow-up of furniture and consumables.
  • Administrative Tasks: Perform miscellaneous administrative tasks.
  • Site Evacuation: Assist in site evacuation (emergency case).
Required Skills and QualificationsEssential Requirements:
  • Bachelor's Degree or Equivalent Experience: In logistics and/or management fields.
  • Working Experience: 1-3 years.
  • Language Skills: Good oral and written expression in French and English (B2 minimum level). Knowledge of German and Luxembourgish is an advantage.
  • Auditovisual Material: Good knowledge of audiovisual material.
  • Attentiveness and Rigor: Attentive and rigorous regarding instructions given concerning work and health and safety rules.
  • Knowledge in Security and Technical Infrastructure: Knowledge in security and technical infrastructure is an advantage.
  • MS Office: Mastery of MS Office (Outlook, Word, Excel).
  • Proactivity and Independence: Ability to work proactively, independently, and discreetly.
  • Team Spirit: Team spirit, dynamism, and sense of initiative.
  • Schedule Flexibility: Flexibility in schedules.
  • Category B Driving License: Category B driving license.
