The Billing Assistant is responsible for accurately preparing invoices, maintaining organized billing records, and collaborating with internal teams to ensure financial transparency and compliance with billing procedures. The role demands meticulous attention to detail and strong organizational skills to support efficient financial operations.

Our client is a distinguished law firm known for its comprehensive legal services and strategic advice. Located at the center of Europe's financial hub, the firm excels in offering expert guidance on corporate and tax matters.

Responsibilities

  • Invoice Preparation: Generate and prepare accurate and timely invoices for client services, ensuring adherence to billing guidelines and fee arrangements.
  • Recordkeeping and Filing: Maintain organized and up-to-date billing records, following standard filing procedures for easy retrieval and reference for financial and auditing purposes.
  • Financial Systems Management: Utilize a thorough knowledge of applicable accounts payable/general ledger systems and procedures, participating actively in financial chart of accounts maintenance.
  • Collaboration with Teams: Work closely with legal and administrative teams to gather necessary billing information, resolve discrepancies, and ensure billing accuracy.
  • Compliance and Documentation: Ensure adherence to corporate procedures related to billing and maintain detailed documentation of billing activities, supporting financial transparency and audit readiness.

Requirements

  • Attention to Detail: Must exhibit meticulous attention to detail in handling billing processes, ensuring accuracy in invoice preparation and maintaining organized records.
  • Financial Acumen: Possess a solid understanding of accounts payable/general ledger systems, financial chart of accounts, and billing procedures, facilitating effective management of financial data and compliance.
  • Organizational Skills: Strong organizational capabilities are essential for managing billing records efficiently, following filing procedures, and collaborating with diverse teams to gather necessary information.
  • Results-Oriented: A successful billing assistant should be focused on meeting deadlines, resolving discrepancies, and enhancing the efficiency of billing and financial operations within a private-practice setting.
  • Full fluency in English is required; knowledge of other languages is a plus.
