Role Description
This is a part-time, on-site Administrative Assistant role based in Luxembourg. The Administrative Assistant supports daily office operations by managing correspondence, organizing documents, and maintaining records. Responsibilities include handling phone calls with professional etiquette, scheduling meetings, coordinating calendars, and assisting with basic clerical tasks such as data entry, filing, and preparing reports. The role may also provide executive administrative assistance, including organizing travel arrangements, preparing presentations, and supporting management with administrative needs. The position requires consistent on-site presence to assist the team and ensure smooth office workflow.
Qualifications
- Strong administrative assistance and executive administrative assistance skills, with the ability to support managers and the wider team effectively.
- Professional phone etiquette and clear communication skills, both written and verbal, when interacting with colleagues, clients, and partners.
- Solid clerical skills, including filing, data entry, document management, and basic office software proficiency (e.g., Microsoft Office or similar tools).
- Good organizational and time management abilities, with attention to detail and accuracy in all tasks.
- Ability to work on-site in Luxembourg and collaborate in a multicultural, international environment.
- Prior experience in an administrative or office support role is preferred; experience in distribution, logistics, or the wines and spirits industry is an advantage.
- Secondary education diploma required; vocational training or further education in administration, business, or related fields is beneficial.
- Knowledge of English required; additional language skills (such as French or Spanish) are a plus.
