**Job Purpose (Job Summary)**:
The purpose of the job is to support the Portfolio Management Committees (PMC) with transaction-related activities but also to ensure compliance of the portfolio management function with the Circular CSSF 18/698 by implementing policies and procedures, overseeing the investment advisor and reporting the quarterly activities to the Conducting Officer in charge of the portfolio management function.

**Key Responsibilities / Duties**:

- Support PMC with transactions
- Ensure to obtain corporate approvals for any transaction related matter
- Arrange for proper delegations of powers to be in place for each transaction
- Attend and minute meetings where necessary; prepare extracts of minutes; co-ordinate execution of legal documents; tracking and tracing documents (legalisation, apostille, review, signature verification, etc.)
- Liaising with third parties and fund teams to ensure on time and proper completion
- Maintain proper governance
- Maintaining proper legal records and files
- Maintaining corporate governance of the PMC by maintaining a data base specifically designed for transaction related matters
- Ensure to meet regulatory requirements of the Funds on transactions reporting to the depositary and auditor and provide them with all relevant documents and information as needed
- Arrange for legal documentation of transaction related funds flows to be put in place
- Organizing execution of closing documents and follow up to obtain closing documents for our data base
- Provide consulting services
- Ensure to advise the Investment Advisor on Luxembourg requirements for transaction related matters
- Oversight Investment Manager
- Ensure the proper approval of delegated authority to the Investment Advisor and support in the performance of annual reviews of the Investment Advisor

**Work Experience / Knowledge**:

- Would typically have a background in corporate administration and secretarial services with some background in law
- Ideally a minimum of two years’ experience preferably gained within the real estate sector but junior profile would also be considered
- Experience working in an international environment
- Knowledge of administrative procedures

**Skills / Other Personal Attributes Required**:

- Fluent in English and German, French would be seen as an asset
- Excellent written and verbal communication skills in order to liaise clearly and effectively in an international working environment with all levels of staff
- Team-oriented personality with follow through and execution skills
- Self-motivated and able to prioritize workload to meet tight deadlines
- Strong administrative and organizational skills
- A confident can-do attitude with strong attention to details
- Good knowledge of all Microsoft Office systems

**Formal Education**:

- Jobholders would most likely be qualified Corporate Offices, Corporate Secretary or similar
