Operational Assistant

Manpower is recruiting an Operational Assistant for one of its institutional clients operating in the financial sector, based in Luxembourg, as part of a temporary assignment.
Your missions:Provide operational and administrative support to the Heads of Division, Heads of Unit and division members
Ensure accurate filing, archiving and maintenance of physical and digital documents
Distribute incoming mail and digital documents to the relevant team members
Organise and prepare meetings (logistics, documentation, follow-up)
Collect required signatures and prepare invoices
Maintain and proactively update divisional databases, lists and IT systems
Ensure compliance with established internal procedures and templates, and update them when required
Support managers and officers with specific administrative tasks (PowerPoint presentations, editing and formatting notes, meeting preparation, administrative follow-up)
Collect missing annual reports and Credit Information Packages from corporate counterparts
Contribute autonomously and proactively to divisional activities as part of a pool of assistants
Completed secondary level education, ideally with a 2-year certification in secretarial studies, business administration or a related field, or equivalent relevant professional experience
Minimum 5 years of relevant professional experience in an administrative, operational or institutional environment
Excellent command of MS Office tools (Word, Excel, PowerPoint) and strong IT literacy
Knowledge of Business Objects, SharePoint, Notes and internal tools such as SERAPIS or GED is considered a strong advantage
Ability to work autonomously while collaborating effectively within a team environment
Strong organisational skills, attention to detail and a proactive mindset
Fluency in English and/or French; knowledge of other EU languages is an asset
