The **Corporate Secretary (M/F/d)** is reporting to Deputy General Counsel and - as part of the wider Legal Team - is responsible for corporate law topics across EMEA, conducting the office management in Luxembourg. This position is initially limited for 12 months.

**Your responsibilities**
- Responsible for corporate law topics of entities across EMEA region
- Preparing board, shareholder’s resolutions and meetings for companies within EMEA
- Drafting necessary corporate documents
- Attending and taking minutes during the meetings held
- Handling incoming and outgoing mail in Luxembourg
- Responsible for general administrative tasks across various EMEA jurisdictions;
- Assistance to the Luxembourg management team
- Filing of the appropriate corporate documents towards the authorities (e.g. annual accounts, changes of the companies’ information, UBO information, annual confirmation statements)
- Maintaining various registers (shareholder’s, UBO’s, PoA’s, PCG’s), as well as companies’ records up-to-date
- Dealing with KYC requests
- Handling signature process
- Arranging notarisations and apostilles
- Coordinating with the relevant internal departments as well as cooperating with external service providers;
- Assistance in contract management/contract administration for Luxembourg related topics

**Your qualification**
- High school diploma or equivalent, additional qualification as an Executive Assistant or Office Manager will be a plus
- Proven experience working in an office environment in a similar role
- Experience in a law firm would be a plus
- Paralegal experience
- Reliable, structured and thorough working method
- High sense of responsibility and ability to work in a team and independently
- Knowledge of office management responsibilities, systems and procedures
- Proficiency in MS Office
- Excellent time management skills and ability to multi-task and prioritize work
- Attention to detail and problem-solving skills
- Strong organizational and planning skills in a fast-paced environment
- High quality standards and strong sense of responsibility
- Ability to handle sensitive and confidential information
- Ability to work both in a team and independently
