HI Partners is currently seeking a talented and motivated Operations Officer who is fluent in German to an Asset Management structure in Luxembourg. As an Operations Officer, you will play a key role in ensuring the smooth and efficient operation of our business activities.
In this role, you will be primarily responsible for executing and monitoring trade operations, reconciling trades, and performing various middle office functions. You will work closely with various internal teams, including Front Office, Back Office, and Compliance, to ensure accurate and timely trade settlement, resolve trade discrepancies, and assist with the implementation of operational enhancements.
Fluency in German is mandatory for this position as you will be required to communicate and collaborate with German-speaking stakeholders.

**Responsibilities**:

- Build and maintain strong relationships with clients, understanding their needs and preferences
- Act as the main point of contact for clients, addressing any inquiries or issues in a timely and professional manner
- Daily management of business transactions, including the recording and verification of customer master data
- Recording and inputting customer transactions and ensuring accuracy in reconciling customer inventories within our portfolio management system.
- Collaborate with internal teams to ensure seamless onboarding and service delivery
- Maintenance of customer and agent files (both physical and electronic) - archiving
- Reviewing and sending new client documents to the custodian banks
- Ensure compliance with all regulatory requirements and internal policies
- Performing business checks in accordance with the control plan, including MIFID and other relevant regulations
- Preparation and sending of asset reports to clients
- Facilitating the transmission of orders to our custodian banks and order control
- Providing assistance to the portfolio management team by executing orders

**Requirements**:

- Fluency in German is mandatory
- Minimum of 5 years of experience in banking of securities environment
- Strong interpersonal and communication skills
- Excellent problem-solving and decision-making abilities
- Customer-centric mindset and passion for delivering exceptional service
- Proficiency in using Portfolio Management System - preferably Efront Software tools
- Ability to work effectively in a fast-paced, dynamic environment
- Strong attention to detail and organizational skills
- Ability to work independently and as part of a team
