As an Administrative Assistant in the corporate governance team, you will demonstrate excellent communication and organizational skills as the role requires regular interaction with Board members and with senior executives within BlackRock.
You will provide general administrative support to the Fund Board Governance team based in Luxembourg.
You will mainly be responsible for the following:
- Organisation of FBG physical meetings (WebEx invitation, outlook calendar, welcoming externals participants, etc..);
- Scanning and filing documentation for all entities managed by our team;
- Printing and organisation of the execution of originals;
- Process incoming and outgoing mail, arranging DHL / Post registered mails, Booking taxis / Greco / Multiservices;
- Coordinate our team metrics/ questionnaires of service providers;
- Maintenance of statutory information, including management of the in-house company secretarial software package;
- Responding to basic KYC queries;
- Acting as liaison point with Notaries, auditors, lawyers, providing assistance/responding to general requests for information where necessary;
- Ensuring regulatory filings are adhered to (RCS, RBE, AED, etc.);
- Back-up of the office manager (order stationary, arrange for catering in office meeting, liaising with IT, Office health and safety procedures, attending reception, etc..);
To ensure success, you will have the following qualifications:
- Fluent/ high level of English
- Experience on the Corporate Services and/or Funds industry would be preferred
- Basic knowledge of Luxembourg regulatory environment and vehicles
- Work autonomously on own tasks, whilst working in a team environment
- Work under pressure with flexibility to adapt to shifting time expectations
- Highly organized and with excellent personal time management
- Attention to detail essential and proofing skills
- Very good Excel and Outlook skills
- Excellent communication skills with the ability to build relationships across the business, operations and suppliers at all levels of management up to and including Board of Director level
- Familiarity and experience with Blueprint Software is an advantage
