Your role
Our Administration team at Saltgate provide a bespoke suite of administration services. Our experienced team members deliver high quality output designed to support throughout the fund life cycle.
Reporting to the Senior Fund Administrator, you will be the primary point of contact for day-to-day administrative matters for a portfolio of client entities. You will also work closely with the Accounting, AML team, and other teams supporting the portfolio of client entities.
Your focus
- Coordinate and prepare board and shareholder meetings, including agenda, minutes and documentation, ensuring compliance with law and internal policies and procedures
- Maintain register of entities and corporate statutory documents ensuring regulatory compliance and consistent internal record keeping
- Assist with corporate approvals, resolutions and legal formalities related to the with signatories as well as ensuring timely execution and filing of legal documents in compliance with the legal requirements
- Monitor and track incoming emails and ensure they are responded to on a timely basis, escalating where appropriate
- Support the lifecycle of the entity: incorporation, liquidation, restructuring and repatriation
- Liaising professionally with notaries, lawyers, bankers and other third parties by email, telephone and face to face
Your experience
- Prior experience with at least 2-3 years in company administration in Luxembourg, ideally within financial services.
- Able to demonstrate excellent communication skills providing clear direction and attentive listening
- Proactive and responsive, able to work independently while collaborating effectively with the stakeholders.
- High organised and accountable, with the ability to handle separate tasks and meet commitments
- Present a high level of motivation, accepting opportunities and challenges with a sense of urgency and enthusiasm
All individuals are assigned responsibility for assisting in the overall information security and data protection environment. This includes attending and completing all mandatory information security and data protection training and complying with all applicable policies and procedures.
