We are looking for a Administrative Officer to Director Infrastructure IT & Facility
to start in immediately, based in our IHQ in Schengen, Luxembourg.

WHAT ARE YOUR RESPONSIBILITIES:

  • Manage and monitor the Director's email inbox, ensuring timely and accurate responses. 
  • Manage correspondence (email, letters, phone calls), prioritizing urgent matters and drafting replies to external stakeholders when appropriate. 
  • Coordinate, track and monitor ongoing projects and initiatives under the Director's scope, ensuring regular follow-ups and status updates are maintained. 
  • Monitor incoming proposals, perform initial screenings, and identify relevant opportunities for further consideration. 
  • Taking ownership of smaller projects and managing them independently as needed. 
  • Handling general administrative and organizational tasks  

WHAT ARE THE REQUIREMENTS:

  • High school diploma or equivalent, in addition to related work experience.  
  • Prior experience as an Administrative Officer or in a related field. 
  • Good verbal and written communication skills in English and German. Knowledge of French is an advantage.  
  • Proficiency with MS-Office tools: Word, Excel, PowerPoint and Outlook. 
  • Excellent communication skills, organization and autonomy. 
  • Used to multitasking and demonstrating solid time-management skills as well as the ability to prioritize tasks.
     
  • Resilient and capable of managing demanding situations with confidence and sound judgment.
