As part of your role, you will provide our consultants' team with administrative and commercial support to ensure the smooth running of the office.
In concrete terms, your responsibilities can be structured around three categories:
Administrative Support
Act as the main support for the team
Welcome our visitors
Process incoming CVs and prepare them before client's sending
Manage our database
Confirm interviews with the different stakeholders
Organize and confirm meetings with clients
Draft and follow-up contracts
Liaise with the legal department to answer clients' queries
Conduct regular audits to ensure all requirements are met
Prepare and follow-up the invoicing processManaging various reports
Sales Support
Prepare and send out various mailingsMake searches on various database and social network to support our consultants' sales activity
Draft and publish attractive job descriptions, advertisements and posts for social networks
Office Management
Manage basic IT issues
Escalate recurring issues to our IT department in order to find long term solutions
Stock management, ordering office supplies
Organize and facilitate professional and industry events
Assist in the communication of the branch

Your Profile
You have a bachelor's degree related to administrative field
(ideally executive assistant)
You have a first relevant experience in a similar function
You are computer literate (especially with Microsoft Office Suite)
You have a perfect command of French and English
Any other language would be considered an asset
You have excellent communication skills both in French and English
You are service and problem-solving oriented
You are a team player
You are multitasking and able to prioritize the workload
You like working under pressure while maintaining accuracy in your work
