Job Description

A dynamic role is available at Arendt & Medernach, the leading independent business law firm in Luxembourg. As a Personal Assistant – Luxembourgish Speaker, you will be part of an international team of over 800 professionals and contribute to delivering end-to-end specialist advice to clients.

Key Responsibilities:
  • Schedule meetings, set up conference calls across multiple time zones, and arrange internal and external meetings while preparing necessary documents and taking meeting notes when required.
  • Assist with and coordinate administrative tasks related to client portfolios, maintaining records from opening to closing, and monitoring compliance with firm rules and standards.
  • Manage communication (emails and phone calls) related to client portfolios, maintain daily records, and file documents according to applicable conventions.
  • Ensure portfolio adherence to firm guidelines and regulations, collaborate with the KYC and risk teams as needed, and update the CRM database accurately and regularly.
  • Maintain close attention to financial aspects of client files from inception to closure, guarantee correct parameters and data in the billing system, and ensure timely completion within budget constraints.
Required Skills and Qualifications

To excel in this role, you should possess:

  • Native fluency in Luxembourgish, German, French, and English for effective communication.
  • An Office Management or International Administrative Management degree (ESA) or equivalent.
  • Excellent time management skills, ability to multitask, prioritize work effectively, and provide a high level of service-oriented mindset.
  • Ideal experience as an assistant in an international environment, preferably in the advisory or financial sector.
  • Proficiency in MS Office and the ability to handle confidential information with discretion.
