**Client Description**:
Our client, a European Institution, is looking for its future Operational Assistant.
The job offer is a temporary contract for one year.
**Responsibilities**:
You will provide operational and administrative support to the Corporate Divisions in PMM, including the following:
- Support management for the organisation of meetings and handle management’s agendas in Outlook;
- Finalise and circulate Notes for approval and distribution;
- Ensure that staff in the Division respects the established procedures and templates and amend them as required by management;
- Archive documents and update systems according to the established procedures;
- Assist on specific tasks as required (e.g., preparation of PowerPoint presentations, editing and formatting Notes, etc.);
- Coordinate training and mission programmes for the year, including for budget purposes;
- Familiarise yourself with the key processes and tools of the Division, and act as a backup of the other assistant(s) in the same Division and/or Department;
- Pro-actively contribute to the maintenance/update of the databases/lists/IT systems relevant for the Corporate Divisions. This entails timely and accurate filing, reporting and system updates;
- Collect missing annual reports/Credit Information Packages of corporate counterparts.
- You have a secondary level education completed, with a 2-year certification in a relevant field (secretarial studies, business administration);
- You have minimum 5 years of relevant professional experience;
- You have excellent knowledge of the Bank’s standard IT tools
- You are fluent in English and/or French. Knowledge of other EU languages would be an advantage.
