The Directorate of Sourcing and Organisation Management (SOMA) plays a key role in supporting the efficient operation of within the Directorate-General for Information Technologies and Cybersecurity (DG ITEC). It covers human resources and sourcing strategies, financial, procurement and contract management, as well as providing publication and printing services for organisational clients. Responsibilities and tasks: DG ITEC is looking for a motivated, dynamic and versatile professional to join its Infrastructure Directorate of Sourcing and Organisation Management in Luxembourg, providing administrative support across the unit. Working in close cooperation with colleagues and stakeholders across the institution, the successful candidate will contribute to the Unit's administrative and organisational activities, including: Following up on administrative files and executing various administrative tasks; Drafting notes and communications in English or French; Handling internal and external contacts; Supporting the three teams within the HR Unit (core recruitment, learning and development, and the GBI team responsible for inventorial assets) with related document and workflow processing and organisational projects; Preparing and processing documents, and managing correspondence and information; Providing administrative follow-up on staff-related matters, including absences, teleworking, overtime, training and onboarding; Organising and following up on in-person and online meetings; Preparing minutes and mission-related documents; Registering, filing and archiving documents using the European Parliament's systems. What we are looking for: Knowledge and

skills:
A thorough knowledge of MS Office and the various IT tools necessary for proper secretariat functioning, as well as a willingness to learn new tools Autonomy, organisation, planning, and writing skills as well as a very good team spirit A high sense of confidentiality, diplomacy and rigour will be essential in performing the daily tasks Experience in organising missions and events, would be an asset A very good command of English or French is necessary, and a good knowledge of the other language would be an asset Availability for occasional missions in Strasbourg and Brussels as per needs.

This is a Temporary Agent position in Function Group AST/SC, with a fixed-term contract under EU regulations.
