In order to support the development of our office's activities HACA Partners Luxembourg, we are recruiting a Business Assistant. About your tasks Administrative Support Prepare, proofread, and format professional correspondence, reports and presentations Design and prepare compelling client proposals and pitch decks (PowerPoint), bringing creativity and a strong sense of layout
- proactively suggesting improvements to presentation formats and visual storytelling Maintain accurate and up-to-date filing systems (digital and physical), including client Interact with Event team for coordination and planification of client event Assist with the coordination of assignments, tracking deadlines and deliverables across multiple engagements. Maintain client databases and CRM systems with accurate contact and engagement information. Facilitate and animate Business Line management meetings, including preparing agendas, taking structured notes, and distributing concise meeting summaries and action points to stakeholders. Finance & Billing Support Assist with raising invoices, tracking payments, and following up on outstanding unpaid invoices in coordination with the finance team. Process expense claims and petty cash in accordance with firm policies. Support budget monitoring and prepare basic financial summaries as requested. About you Minimum 5 years of experience in a business assistant, or executive assistant role. Previous experience in a professional services environment (audit, accounting, legal, or consultancy) is strongly preferred. Proven ability to manage multiple priorities and deadlines in a fast-paced environment. Excellent written and verbal communication skills in English (additional languages are a plus), French is considered as a strong asset. High proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Experience with document management systems and/or practice management software is advantageous. Relevant diploma or degree in Business Administration, Secretarial Studies, or a related field.
