A. is a specialised PFS authorised and supervised by the Commission de Surveillance du Secteur Financier (CSSF), the Luxembourg financial regulator. The Corporate Services & Office Administration Officer will provide support to the Corporate & Fund Services team while contributing to the efficient day-to-day operation of the Luxembourg office. Approximately 60-70% of the role will be dedicated to corporate services activities, including corporate administration, governance and client support, with the remaining 30-40% comprising office administration responsibilities, including reception coverage, client welcoming, telephone management, mail handling, document management and general office coordination. The role requires strong organizational skills, attention to detail, and the ability to coordinate with clients, banks, service providers, regulatory authorities, and internal stakeholders. The position offers exposure to a broad range of corporate, governance, compliance, banking, and operational activities within a regulated fiduciary and fund environment. The Corporate Services & Office Administration Officer will report directly to the Assistant Manager, Corporate Administration and the Team Manager, Corporate & Legal services. Duties Typical tasks will include but are not limited to: CORPORATE SERVICES (Approx 60-70%) Assist with the day-to-day administration of a portfolio of Luxembourg corporate and fund structures, including Soparfi, SPF, securitisation vehicles, and regulated or unregulated funds where necessary. Assist and coordinate with the set-up, maintenance, restructuring and liquidation of Luxembourg entities and liaise with third party law firms in this respect. Prepare standard corporate and legal secretarial documentation, including resolutions, powers of attorney, agreements and meeting documentation. Organise board and shareholder meetings, prepare agendas, board packs, minutes and extracts where required. Maintain statutory records, shareholder registers and corporate files. Coordinate document execution, legalisations, apostilles and signature processes. Liaise with clients, banks, notaries, lawyers, auditors and other third-party service providers. Assist with statutory filings, publications and regulatory formalities. Support AML/KYC processes and maintain accurate corporate records. Update and maintain internal databases and document management systems. Ensure client files remain complete, up to date and compliant with internal procedures and Luxembourg regulations. Identify issues requiring escalation and support senior team members in resolving them. OFFICE ADMINISTRATION (Approx 30-40% depending on needs) Manage, scan, index, file and archive documents using the electronic document management system. Maintain physical and electronic client files and binders. Organise incoming and outgoing mail, courier services and document deliveries. Schedule meetings, conference calls and appointments. Assist with travel arrangements and logistical support when required. Welcome visitors and provide general administrative assistance. Answer and redirect telephone calls when necessary. Support internal teams with administrative and organisational tasks. Provide general office support and participate in special administrative projects as required. Act as a liaison between Corporate Services, Compliance, Accounting, and other internal teams to ensure efficient delivery service. Qualifications, experience & Skills Degree in Law, Business Administration, Corporate Administration or a related field. Minimum 2 years of experience in a corporate, legal secretarial, fiduciary, fund administration or administrative environment in Luxembourg. Previous exposure to Luxembourg corporate governance and company secretarial matters together with sound understanding of Luxembourg corporate administration and governance principles is essential. Experience with document management and corporate record keeping. Knowledge of AML/KYC requirements and banking processes. Experience in document management and office operations would be considered a strong asset. Excellent organisational and multitasking abilities. Strong attention to detail and accuracy. Ability to manage multiple tasks and meet deadlines. Strong communication and interpersonal skills. Professional and client-focused approach. Ability to work independently while being a strong team player. Proactive mindset and good use of initiative. Good knowledge of Microsoft Office (Word, Excel, Outlook). Fluent English and French, both written and spoken. Any additional language, particularly German or Spanish, would be considered an asset Personal attributes Reliable, professional and discreet.
