About The Role
As an Onboarding Intern, you will support the delivery of a smooth, welcoming, and well-organised onboarding experience for new employees. You will work closely with HR, hiring managers, and internal teams to coordinate key activities, maintain accurate documentation, and help new starters become productive quickly. This full-time, on-site role offers practical exposure to employee experience, people operations, and cross-functional coordination within a professional environment.

Key Responsibilities
Coordinate pre-boarding and first-day activities for new employees Prepare onboarding materials, welcome packs, system-access requests, and required documentation Maintain accurate onboarding records and track completion of required tasks Schedule orientation sessions, introductions, and meetings with relevant internal stakeholders Respond to routine new-starter questions and direct complex queries to the appropriate team members Collaborate with HR and hiring managers to identify and resolve onboarding process gaps Gather feedback from new employees and support continuous improvements to the onboarding experience Requirements Demonstrate strong organisational skills and attention to detail Communicate clearly and professionally with employees and internal stakeholders Manage multiple tasks effectively while meeting deadlines in a fast-paced environment Handle sensitive employee information with discretion and confidentiality Use Microsoft Office or Google Workspace tools confidently Show a proactive, service-oriented mindset and willingness to learn Be available to work full-time in an on-site employment role Nice to Have Previous internship, academic project, or volunteer experience in HR, administration, or customer support Familiarity with HR information systems, applicant tracking systems, or onboarding platforms Experience coordinating schedules, events, or administrative processes Knowledge of employee lifecycle processes and workplace onboarding best practices Additional language skills relevant to the local workforce Pension contributions in line with the Luxembourg social security system Generous paid time off (26+ days/year) Public holidays (Luxembourg has ~11 official holidays) Sick leave coverage Equity or stock options Flexible
