Join our Talent Attraction and Acquisition team, supporting recruitment across PwC Luxembourg.
Working closely with Talent Acquisition Advisors and Talent Acquisition Partners, you will join a collaborative team where strong coordination makes a real difference. By bringing structure, responsiveness and consistency to our activities, you will help create a smooth recruitment experience for candidates while supporting the team in working effectively with hiring teams and meeting its operational and administrative requirements.
What Your Role Will Look Like
As a Talent Attraction & Acquisition Coordinator, you will combine hands-on recruitment scheduling with essential administrative responsibilities. You will manage multiple activities and priorities in parallel, ensuring that each step is handled accurately, on time and with the right level of attention.
The role requires someone who can stay one step ahead, take ownership and bring clarity, while maintaining a high standard of service and attention to detail.
You will:
• Coordinate interviews across the firm, from scheduling and invitations to sharing practical information with candidates.
• Manage Talent Acquisition team calendars and coordinate multiple schedules to ensure a smooth and efficient interview process.
• Serve as a reliable point of contact for candidates, providing clear, timely and professional communication throughout interview coordination.
• Manage the validation and follow-up of Talent Attraction and recruitment invoices and expenses.
• Manage ADEM administration, including vacancy declarations, required updates and documentation, ensuring accurate records and compliance with Luxembourg requirements.
• Track and report on key scheduling metrics, including time-to-schedule, rescheduling, no-shows, interviewer availability and bottlenecks.
• Prepare weekly and monthly activity reports and maintain accurate data for key Talent Attraction and Acquisition metrics.
• Support Talent Attraction and Acquisition projects and initiatives, ensuring effective coordination and follow-up.
• Maintain accurate and up-to-date process documentation to support consistency, knowledge sharing and business continuity. • 3 to 4 years of experience in an administrative or coordination role.
• A genuine interest in Human Resources and recruitment.
• Strong organisational and prioritisation skills, with the ability to manage multiple activities while maintaining accuracy and meeting deadlines.
• Clear, warm and professional written and spoken communication in a multicultural environment, with fluency in English and French.
• Strong stakeholder management skills, with the confidence to follow up, align expectations and challenge constructively when needed.
• A proactive and solution-oriented mindset, with a strong sense of ownership and reliability.
• Discretion and integrity when handling confidential candidate and employee information. Ways of working
• You contribute actively to the team, build trusted relationships and understand how your work supports shared outcomes.
• You communicate with care and professionalism, adapt to different stakeholders and remain solution-focused when priorities evolve.
• You follow through on commitments, work collaboratively and handle sensitive information with discretion and integrity. Additional Skills That Would Support Your Success
• Portuguese language skills would be considered an asset.
• Previous exposure to recruitment, HR coordination or a similar environment would be an advantage.
• Confidence working with HR or recruitment systems and digital tools.
