About the Role
The Asteroid Foundation is looking for a proactive, highly organised Project Manager to support the implementation of ASPIRE, our three-year flagship STEAM education programme supported by the Luxembourg National Research Fund (FNR), Luxembourg Space Agency (LSA), Fondation André Losch and Œuvre Nationale de Secours Grande-Duchesse Charlotte. This is a varied, hands-on 360° project management role. Working closely with the Executive Director, you will take ownership of the day-to-day management and delivery of ASPIRE — coordinating activities, people, partners, logistics, budgets, documentation and reporting from planning through to delivery and follow-up. You will work with an exceptional international network of scientists, astronauts, educators, schools, institutions and partners, helping us inspire the next generation through space and asteroid science. As a small, mission-driven organisation, every team member has meaningful responsibility and autonomy. We are looking for someone who enjoys taking ownership, bringing structure to complexity and finding better ways of doing things. You should be comfortable working independently while communicating proactively and knowing when to ask for input or support. What You’ll Do
• Manage ASPIRE work packages, timelines, milestones and deliverables, keeping activities moving and identifying potential issues early.
• Coordinate STEAM education and outreach activities, workshops, conferences and public events, including activities around Asteroid Day.
• Oversee event and guest logistics in collaboration with event and travel agencies, including travel and accommodation arrangements, itineraries and on-the-ground coordination for speakers, scientists, astronauts, VIP guests and partners, ensuring a smooth experience from invitation through to departure.
• Liaise with venues, suppliers, speakers, volunteers, participants and other stakeholders to ensure activities run smoothly.
• Build and maintain strong working relationships with schools, educators, researchers, institutional partners and funders.
• Monitor project budgets, expenditure, procurement and grant requirements, working with the Executive Director and external accounting support where appropriate.
• Collect project data, track KPIs and contribute to funder reports, ensuring documentation is complete, accurate and easy to retrieve.
• Maintain clear project records, calendars, contact databases, action lists and shared documentation.
• Support project communications, participant engagement and general programme administration.
• Continuously improve workflows, templates, checklists and processes — we value people who see a better way of doing something and take the initiative to propose it. Who We’re Looking For You are someone who:
• Has solid experience managing projects, programmes, events or complex operations.
• Is highly organised and genuinely enjoys bringing structure to multiple moving parts.
• Has strong attention to detail and a high level of rigour — you check your work and care about getting things right.
• Takes ownership, follows through on commitments and can work independently without needing constant direction.
• Is proactive: you anticipate what needs to happen next, flag risks early and propose solutions.
• Enjoys creating efficient workflows and improving the way things are done.
• Can move comfortably between big-picture project management and hands-on practical details.
• Communicates clearly and proactively, keeping colleagues and stakeholders informed.
• Is comfortable managing several priorities in a dynamic, international environment.
• Has excellent written and spoken English; French and/or other languages are an asset.
• Is confident using digital collaboration and project-management tools (G-Suite, Asana or equivalent) and comfortable learning new ones.
What We Offer
• Meaningful work with a clear purpose — helping young people engage with science, space and planetary defence.
• The opportunity to work with an extraordinary international community of scientists, astronauts, educators and space organisations.
• Real ownership and autonomy — you will have room to shape projects, improve processes and see the direct impact of your work.
• A varied role where no two weeks are quite the same.
• A small, collaborative and international team where ideas and initiative are valued.
• Flexible working arrangements.
• Modern offices at Silversquare, a few minutes from Luxembourg Central Station.
• Meal vouchers.
• Professional development and training opportunities.
• Opportunities to build an international professional network and grow with the Foundation. If you are the kind of person who enjoys making complex things run smoothly, takes satisfaction in a well-organised project and wants your work to have tangible impact, we would love to hear from you.
