For one of our clients, a European Institution located in Luxembourg Kirchberg, Sofitex Talent is currently looking for an:
Operational Assistant
- Timesheet The incumbent(s) report to and work under the supervision of senior members of the Financial Sustainability Control Division. Purpose: To provide operational support to the Division by ensuring timely and accurate timesheet management and producing clear, analytical reports that help improve cost allocation and strengthen the accuracy of the profitability model. Responsibilities:
- Monitor and follow up on timesheet submissions in line with internal policy.
- Support the maintenance of the time-tracking platform by updating codes, performing basic checks, and escalating issues to IT when needed.
- Review timesheet entries for completeness and accuracy and flag inconsistencies to senior team members.
- Assist in compiling timesheet data and generating analytical reports that contribute to cost allocation and internal analysis.
- Provide first-level support to employees on timesheet policies and system use, including basic troubleshooting.
- Contribute to the standardisation of procedures and help identify areas for process simplification or practical improvements. PROFIL Qualifications:
- Certified secondary level education.
- A minimum of three (3) years of experience in administrative, financial, or data processing support roles.
- Any additional certifications indicating specialisation would be an advantage.
- Excellent knowledge of English, both spoken and written. Knowledge of other EU languages would be an advantage.
- Excellent knowledge of standard computer tools and M365 tools (particularly Excel, PowerBI would be an advantage).
- Basic knowledge of PeopleSoft or similar administrative systems is an advantage. This is an opportunity for an initial contract of 2 months, with possible extensions afterwards. Salary ranges between 3,460EUR and 5,370EUR gross per month, depending on experience.
