Overview We are looking for a highly organized, action oriented and professional team member to fulfill a dual capacity role as Executive Assistant to the Board Members as well as Administrative Officer. This position provides executive and administrative support to senior leadership, as well as overseeing and managing daily administrative operations of the office and the organization. Main Responsibilities Executive Assistant to the Board Members
- Provide broad executive support to the Board Members, including the preparation and distribution of management materials, presentations and reports in a timely and confidential manner;
- Ensure key decisions, actions and follow-up from management meetings are accurately documented, tracked and reported;
- Serve as primary point of contact between the senior leadership team, staff and various external stakeholders;
- Ensure and maintain confidentiality in handling sensitive business and strategic information and related matters;
- Draft and support the preparation of strategic reviews, management reports, investor relations and corporate communications;
- Support meeting coordination, calendar management, travel arrangements and correspondence in a confidential manner. Administrative Officer
- Coordinate and oversee the daily administrative operations of the office for ensuring efficient and smooth workflows while completing tasks on a timely manner and with high professionalism standards;
- Coordinate procurement and maintenance activities while maintaining relations with vendors;
- Develop, implement and maintain administrative systems, policies and procedures to improve office effectiveness;
- Oversee office budgeting, supplies inventory and general expenditures;
- Foster and maintain an organized, professional and positive office environment that supports productivity, efficiency and collaboration. Qualifications and Experience
- Bachelor’s degree in Business Administration, Management or related fields;
- A minimum of 6-8 years of relevant experience in executive and administrative support roles, preferably supporting senior leadership teams;
- Strong understanding of organizational operations and administrative processes;
- Proven capability to handle confidential and sensitive information with the utmost discretion;
- Exceptional organization and time management skills;
- Ability to manage multiple and variable priorities;
- Excellent written and verbal communication skills while demonstrating professional demeanor with the ability to effectively interact with all levels of the organization;
- Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook), SharePoint and other productivity tools;
- High attention to detail and accuracy;
- Adaptable, reliable, calm and composure under pressure;
- Strong sense of ownership and accountability;
- Solid problem solving skills and a proactive, solution oriented mindset;
- Strong commitment to excellence while being able to work independently with a collaborative attitude.
