Join Our Team as a Personal Assistant - Support Leadership, Drive Efficiency, and Make an Impact
We are currently looking for a dynamic and proactive Personal Assistant to support our leadership team. In this key role, you will be responsible for ensuring seamless day-to-day operations, providing high-level administrative support, and helping drive client relationship management.
You will be a trusted partner to our leaders, enabling them to focus on strategic priorities and business development while you take ownership of daily logistics and communication with both internal and external stakeholders.
**What you will be working on**:
- Own and manage the daily agenda of the Partners: proactively coordinate calendars, manage phone calls, monitor inboxes, and handle incoming correspondence
- Prepare and send communications on behalf of your Partners with professionalism and attention to tone and detail
- Plan and coordinate meetings, conference calls, and business lunches (internal and external), ensuring all logistics are covered
- Manage administrative tasks such as timesheets, expense reports, car leasing follow-ups, credit card payments, etc.
- Coordinate business travel: bookings, itineraries, and travel-related logistics
- Ensure smooth operations with internal tools and systems (P2P, MyNeo, MyRequest, Risk dashboards, digital signatures, etc.)
- Follow up on mandatory trainings in coordination with the Learning & Development team
- Keep Partners’ CVs and other records up to date
- Be a problem-solver and go-to support for all day-to-day business needs
- Represent the Partners as a reliable delegate across various internal platforms
- Support external client engagements: prepare materials, take meeting minutes, ensure follow-up
- Maintain accurate data in the Client Relationship Management (CRM) system (e.g., contacts, reports, events, holiday cards, etc.)
- Contribute to team spirit: assist with onboarding of new PAs, coordinate team events, and support the department with ad hoc tasks
**What we look for**:
- A fluent English speaker with excellent communication skills (both written and verbal). Any additional languages such as French or German is a plus
- A highly organized, proactive and adaptable professional with a strong sense of ownership
- A minimum of 3 years’ experience in a similar role, ideally in a fast-paced, international environment
- Tech-savvy and comfortable with MS Office (especially Outlook, PowerPoint), and eager to learn internal tools
- A collaborative team player who can also work independently and anticipate needs
- Professionalism, discretion, and strong attention to detail are a must
