Position Summary:

Hillwood Investment Properties (HIP) is seeking an Operations Associate, Europe to join its growing team in Luxembourg. This role serves as a central coordination point across European markets, supporting data management, operational processes, asset management tracking, and technology initiatives.

The Operations Associate will work closely with Property Management, Legal, Accounting, Debt, and Operations teams to support accurate monitoring and reporting of assets, critical dates, operational initiatives, and loan compliance throughout the asset lifecycle.

Success in this role requires strong attention to detail, proactive communication across cross functional teams and geographies, and the ability to manage recurring deliverables and special projects in a dynamic, fast paced environment.

Responsibilities:

Data Management:

  • Maintain accuracy and completeness of Quickbase data across all asset lifecycle stages, including land and building acquisitions, development, leasing, and dispositions.
  • Ensure consistent use of data fields and reporting standards to support enterprise reporting and decision making.
  • Manage critical date tracking and exception reporting to ensure timely communication of key dates.
  • Support HIP data warehouse and technology initiatives by partnering with the IT team as HIP continues to develop and expand its data warehouse and automation tools.
  • Assist with QuickBase administration, report development and user support requests.

Asset Management:

  • Review tenant receivables and pursuit cost for accuracy and completeness.
  • Track and monitor pursuit cost approvals in accordance with established processes.
  • Support German Development team with document management and the loan closing process.
  • Assist with risk management, including review of property data for annual insurance renewals.
  • Support loan compliance and covenant tracking using Quickbase loan compliance and covenant tracking tool and related reporting mechanisms.

Other Operational Matters:

  • Assist U.S.-based operations team with EU compensation processes, including annual compensation reviews and variable compensation plan calculations.
  • Prepare and review Luxembourg payroll recharge reporting.
  • Assist with quarterly overhead allocation reviews to ensure accuracy and proper classification.
  • Assist quarterly IT allocation reviews to ensure appropriate employee inclusion and accuracy.

  • Demonstrates respect for others, fosters positive working relationships, promoting collaboration and inclusivity across teams and geographies.
  • Proficiency in Microsoft Office (Excel, PowerPoint, Outlook), familiarity with database systems and reporting tools.
  • Familiarity with AI enabled tools, such as Microsoft Copilot, preferred.
  • Business level German language skills strongly preferred.
  • English fluency required.

Education and Experience:

  • Bachelor's degree in Business, Finance, Accounting, Real Estate, Economics, or a related field, or equivalent practical experience.
  • Four to seven years of experience in audit, consulting, business operations, asset management support, or a related professional services environment.
  • Experience working with data management systems and enterprise reporting tools, including maintaining data accuracy and consistency.
  • Demonstrated experience supporting cross functional teams, including Legal, Accounting, Property Management, and Operations.
  • Experience managing recurring deliverables, compliance tracking, and operational processes in a deadline driven environment.
  • Experience in a commercial real estate, financial services, or professional services environment preferred.
